This Opportunity:

Working in collaboration with the CEO, Development Manager, and Marketing and Communications team, the Event Manager is responsible for producing CVNL events including Heart of Marin, Heart of Napa, Heart of Sonoma County, 100Marin, and Sonoma County Human Race. This position works with nonprofit organizations, businesses and corporations, community leaders, and volunteers serving the Bay Area.

Reporting to the Chief Executive Officer (CEO), this is a full-time exempt position based in either the San Rafael or Santa Rosa, California office, with opportunities for hybrid work.

Salary and Benefits

Salary DOE. Benefits include full health, dental and vision plans for you and your family, including a 100% employer-paid health plan for you, 403b Retirement Plan with 3.5% employer contribution (after one year), company-paid $25,000 Life Insurance Policy, and generous vacation and holiday schedule. Responsibilities

  • Manage all aspects of CVNL events, including:
    • Program strategy and development, customer experience and satisfaction, timelines and logistics, contracts, day-of production
    • Post event review, recommendations and wrap up, acknowledgments
    • Ensure events meet financial goals, track income and expenses and manage budget
    • Track event registrations and drive outreach to ensure participation goals are met
    • Develop and manage complex event timelines and logistics and ensue responsibilities are communicated to appropriate stakeholders/staff/volunteers
    • Identify and negotiate with vendors, order supplies, determine event staffing needs
    • Coordinate the actions of multiple internal and external partners and stakeholders; serve as main contact for all events
    • Ensure administrative and financial policies and procedures are being adhered to
  • In partnership with Marketing and Communications create promotional plans; includes press releases, social media campaigns, e-news, community calendars and mailing print collateral
  • Work with the Development Manager to maintain event sponsor relationships and cultivate new sponsors
  • Determine in-kind needs, identify potential donors, solicit donations, and coordinate deliveries
  • Work cross-departmentally to evaluate and recommend prospective events that align with the organization’s mission and strategic plan
  • Maintain data files
  • Perform other duties as assigned


Requirements

  • Minimum of three years’ experience in event management
  • Bachelor’s degree in hospitality, public relations, or similar preferred
  • Excellent communication, both written and verbal, and strong interpersonal skills
  • Outstanding negotiation skills
  • Enthusiast multi-tasker with proven ability to handle complex planning, logistics and timelines in a team-oriented environment
  • Time management with meticulous attention to detail
  • Ability to handle pressure and make decisions
  • Motivated and results oriented
  • Ability to travel throughout Bay Area and work occasional nights and/or weekends
  • Strong technology skills; proficient in MS Office Suite, social media platforms and comfort in learning new software
  • Connections and familiarity with Marin, Sonoma and other North Bay communities and nonprofits a plus

Physical & Travel Requirements

In addition to basic computer desk work, the employee is required to stand, walk, reach above shoulders, and climb or balance. The employee may occasionally lift and/or move up to 25 pounds. Work occasional nights and weekends to support events.  Travel throughout Bay Area, occasionally work outside.
